Why Is a Written Request Important?
For common area needs such as lift breakdowns, roof leaks, car park/lighting problems, submitting a written request to management records the problem officially. A written request both prompts management to act and documents that "notification has been made". Especially in situations with a security risk (lift, fire installation, electricity), this record is important in terms of liability that may arise in the future.
Elements of the Petition
- Addressee (management) and requester information (unit no)
- Concrete definition of the problem and its exact location
- Urgency/safety situation (must be emphasised if any)
- How long the problem has been ongoing
- Clear request (that the repair/maintenance be done, that it be placed on the assembly agenda if necessary)

Filling Guide
Write the problem and its location concretely ("Block A lift jams on the 3rd floor" instead of "broken"). If there is a safety risk, definitely emphasise it; this legally compels management to act. Deliver the petition against signature and keep a copy. If more than one resident signs, the request is strengthened.
After the Request
Management evaluates the request and organises the repair; large repairs may require an assembly decision. We covered the sharing of common area repair expenses in our common area repair article, lift liability in our lift article, and maintenance obligations in our maintenance periods article.
Common Mistakes
- General expression: Instead of "broken", write the concrete problem and location.
- Not stating the safety risk: Urgent/risky situations must be emphasised.
- Verbal notification: A written request ensures the follow-up and proof of the process.
