Representation at the Meeting Is Possible
If a unit owner cannot attend the assembly meeting in person, they may authorise another person (a neighbour, family member or someone else) to vote on their behalf through a written power of attorney. This is a practical method that increases participation and the legitimacy of the decisions.
Elements of the Power of Attorney
- The information of the unit owner giving the power of attorney and the unit number
- The information of the person appointed as proxy (including national ID)
- Which meeting it is valid for (date)
- The scope of the authority (participation in discussions, voting)
- Date and signature
If there is a specific limitation on power of attorney in the management plan (such as how many owners one person can represent at most), it must be observed.

Definitely specify for which meeting (date) you are giving the power of attorney; a meeting-specific one is safer than an open-ended/general power of attorney. The proxy submits this document at the meeting. Pay attention to the representation limit in the management plan.
Limits of Representation
The proxy, as the owner's representative, votes on their behalf. Tenants cannot vote on their own as a rule; however, if authorised in writing by the owner, they can participate as a representative.
