Attendance — Monthly Staff Working Tracking

Marking the daily status of complex staff (doorman, cleaning, security) on a monthly grid (full day / half day / leave / medical / overtime), calculating net day and SGK day at month-end, month closing.

The Attendance module marks the daily working status of complex staff (doorman, cleaning, security, office staff) on a monthly calendar. At the end of the month, a summary is generated for each staff member: how many full days they worked, how much overtime they had, how many days they were on leave. It is the fundamental source for salary calculation and SGK day reporting.

Prerequisite

For the Attendance module, at least one Staff account (Account type: Staff) must be defined in the system. If there is no staff, the module page opens empty and an "Add Staff" button appears — you need to add staff from the Accounts module first.

Where to open?

From the left menu, ManagementAttendance. When opened, by default the grid of the current month appears (e.g., "Attendance — January 2027").

1. Toolbar — month selection and actions

The toolbar at the top of the page:

  • ← Previous Month · Current Month (highlighted) · Next Month → — navigation between months.
  • This Month button — return to the current month from any month.
  • Staff Filter (Select2 dropdown) — focus on only one staff member.
  • Show former staff toggle — include staff who have left the job (former=1) in the grid.
  • Bulk Operation — mark multiple cells at once (e.g., all weekends as HT).
  • Fill Weekends — automatic "HT" (Weekly Holiday) for Saturday + Sunday for all staff.
  • Public Holidays — automatically mark public holidays (defined in the system) within the month as "RT."
  • Close Month — the month is locked, only read.

2. Monthly grid structure

Monthly calendar view in a table:

  • Rows — each staff member (name fixed in the left column).
  • Columns — days of the month (1, 2, 3, ..., 30/31).
  • Each cell contains the status code of that staff member on that day (e.g., T, Y, HT, A, etc.).
  • Weekends with gray background (Sat-Sun).
  • Today's column highlighted with bold border.

Color legend is always visible at the bottom of the page.

Only Unpaid Leave (UCI) and Absent (A) do not count toward SGK days. All other leaves (annual, paid, excuse, medical) are considered as SGK days. This is critical for salary and SGK reporting calculation.

4. Entering status by clicking a cell

  1. Click a staff + day cell.
  2. Select one of the 11 status codes in the pop-up.
  3. (Optional) Enter hours in the OT hours field for overtime (e.g., 2.5 → appears as T★2.5 for that day).
  4. (Optional) Special status in the Notes field (e.g., "Left early — appointment" / "Emergency call, overtime").
  5. Press Save. The cell color and text are instantly updated.

5. Fill Weekends (convenience)

If you press the Fill Weekends button at the beginning of each month, the system automatically marks all Saturdays and Sundays of the month as HT (Weekly Holiday) for all staff. Only if there is a staff member working on those days do you manually change the cell.

6. Public Holidays (automatic)

The Public Holidays button marks holidays within the month as RT for all staff over the Turkey official holiday calendar (27 holidays defined in the system). Religious holidays are also included in public holidays.

7. Bulk Operation (advanced)

To mark multiple cells at once:

  1. Open the Bulk Operation modal.
  2. Select one or more staff.
  3. Specify date range (start - end).
  4. Select status code (e.g., YI - Annual Leave).
  5. (Optional) Overtime hours.
  6. Press Apply. The cells of the selected staff in the selected range are marked at once.

Example: A single bulk operation is sufficient to mark that Mr. Ali is on annual leave from January 15-25.

8. Month-end summary

At the bottom of the grid, month-end summary is automatically calculated for each staff:

  • Total Net Days — T count + Y count × 0.5 (basis for salary calculation).
  • SGK Days — all days except UCI and A.
  • Annual Leave Count — YI day count (for annual entitlement check).
  • Total Overtime — sum of OT hour values.
  • Absence (A) — for discipline/salary deduction.

9. Closing the month

When the month is completed (salary paid, SGK reported), press the Close Month button. When you confirm:

  • All cells are locked, cannot be changed.
  • At the top, "This month is closed (read-only)" warning appears.
  • Action buttons are hidden.
Closing the month is difficult to reverse — only the system administrator (top level) can open it. If you notice a payroll error, you need to contact system support to open and fix. Therefore, do a careful check before closing the month.

10. Seeing former staff

If you turn on the Show former staff switch in the toolbar, past months' grid of staff who have left the job is also visible. Used for past payroll check.

Keyboard shortcuts

You can open the keyboard shortcut guide by pressing the ? button at the upper right. Common ones:

  • T / Y / HT / RT / YI / A — quickly mark that status while a cell is selected.
  • Arrow keys — navigation between cells.
  • Tab / Enter — move to the next cell + save.
  • Esc — close modal/pop-up.

Practical suggestions

  • Fill Weekends + Public Holidays with a single click at the beginning of each month, then only enter exceptions (leave, absence) manually.
  • Note down when marking Absence (A) — recording for discipline like "Did not come without leave" / "Did not answer phone."
  • Use Annual (YI) for annual leave days — Paid Leave (UI) is different (out-of-annual-entitlement plan).
  • Before closing at the end of the month, check that all cells are filled — if there are no empty cells, close.
