Assigning Assistant Manager / Auditor and Permission Management
Steps for assigning a resident of your complex as an assistant manager or auditor, adjusting their permissions, setting a password, switching to their account, and removing them.
In Apt Yönet, as the complex owner, you can assign assistant managers and auditors. Assistant managers share daily work with you; auditors, on the other hand, audit your cost/collection records with only reading permission. This article explains how both roles are assigned and how their permissions are managed.
1. Prerequisites
- The person you will assign must already be registered as a resident (owner or tenant) in your complex.
- The same person cannot be both manager and auditor at the same time.
- Supplier or staff records are not assigned as manager/auditor.
2. Go to the Manager / Auditor page
Open the Settings → Site Settings link from the left menu. Switch to the Managers tab from the tabs at the top. The page consists of two sections:
- Site Managers (red star icon) — People who will work with you with full authority.
- Site Auditors (green star icon) — People with only viewing authority.
3. New assignment
Step 1 — Press the assignment button
Click the "Assign Manager" (or "Assign Auditor") button at the bottom of the relevant section. In the modal that opens, the person search box appears.
Step 2 — Find the resident
Start typing the person's name in the search box. The system shows those not yet made manager/auditor among the residents in your complex. In the result list, you see name + block/unit + resident type (Owner / Tenant). Select the correct person.
Step 3 — Confirm
Press the "Make Manager" (or "Make Auditor") button in the modal. The system assigns the person to the role and the page refreshes. The new person appears at the end of the list — with name, unit information, and default permission badge.
4. What changes in the assigned person?
When the person enters your panel, in addition to their own resident information, they now see the main panel as manager/auditor. In the left menu (according to their authority), modules such as Dues, Accounts, Cash Accounts open.
You need to set a separate password for the person to log in (see the "Setting Password" heading below). Otherwise, that person cannot log into the panel.
5. Editing permissions
On the right side of each assigned manager/auditor row, there are 4 action icons. The first is the lock icon (Edit Permission).
Step 1 — Click the lock icon
The Edit Permission modal opens. Inside are module-by-module checkboxes: Dues (View/Add/Edit/Delete), Expenses, Accounts, Units, Cash Accounts, Management, Reports, and sub-report options.
Step 2 — Grant / remove permission
- For manager — check the boxes you want, leave those you don't want blank. If a module's "View" permission is closed, other permissions of that module (Add/Edit/Delete) are already meaningless, considered automatically closed.
- For auditor — typically only "View" permissions are opened; Add / Edit / Delete remain closed (compatible with the auditor definition).
Step 3 — Save
Press the "Save Permissions" button at the bottom of the modal. The system applies immediately. When the person refreshes the page in the panel, the new permissions become active.
Permission badge
A small lock badge in the form of "X/Y" is shown on the manager/auditor row:
- X — Number of permissions currently open for that person.
- Y — Maximum number of permissions of the role (high for manager, limited for auditor).
- Badge color: green all permissions open · blue some open · red none open.
6. Setting or changing password
The second icon on the row is the key (Set/Change Password). When you click, a small modal opens; you enter a new password for the person. The system saves immediately, delivering it to the person is up to you (SMS/email or face-to-face).
7. Switching to their account (to troubleshoot)
The third icon is login (Log into Their Account). Use this feature to see with your own eyes what the panel looks like to the manager you assigned — for example, you can verify the complaint "I see it in the menu even though they said the permission is closed" by logging in with their account.
When you click, a confirmation window opens; upon acceptance, you switch to that user's panel instantly. At the top of the panel, an orange warning band appears, and you return to your own account at any time you want with a button like "Return to Super Admin".
8. Removing manager / auditor
The last icon is trash (Delete). When you confirm:
- The person's manager/auditor permissions are removed.
- Their registered permissions (module-by-module approval list) are deleted.
- If the person was added only from outside as a manager (not an owner/tenant, no movement records at all), the account record is completely removed.
- If the person is also an owner/tenant in a unit, they remain as a resident; only the assistant authority drops.
