Category Management — Creating in 7 Languages, Bulk Change, Usage List
Steps for creating income / expense / blog / gallery categories, managing their names in 7 languages, seeing in which records they are used, and bulk category change.
Categories are used to group your income/expense movements and content (blog/gallery) records. A correct category structure significantly improves the readability of your reports and your cost analysis. This article explains creating categories in 7 languages, seeing in which records they are used, and bulk category change.
1. Go to the Category page
Open the Settings → Site Settings link from the left menu. Switch to the Categories tab from the tabs at the top. The page is shown in 4 groups:
- Income (green badge) — Dues accrual + collection categories.
- Expenses (red badge) — Expense accrual + payment categories.
- Blogs (blue badge) — Site blog post categories.
- Galleries (yellow badge) — Site gallery album categories.
Below each group is the category list belonging to that group + at the very bottom the "+ New Category" button.
2. Adding a new category
Step 1 — Press the add button
Click the "+ New Category" button below the relevant group. The category modal opens.
Step 2 — Naming (7 languages)
The modal contains boxes where you can write the name in 7 languages from top to bottom:
- 🇹🇷 TR — Required (example: "Electricity"). At least the TR name must be entered.
- 🇬🇧 EN, 🇩🇪 DE, 🇷🇺 RU, 🇳🇴 NO, 🇸🇦 AR, 🇦🇿 AZ — Optional.
Step 3 — Quick fill buttons
At the top of the modal are two shortcuts:
- "Fill from TR" — Copies your TR name to all other languages that are empty.
- "Fill from EN" — Copies your EN name to other languages that are empty (TR is preserved).
Give the names of the languages you address manually; fill in the rest with these shortcuts. The languages you leave blank are automatically copied from EN if EN is filled in on the backend side, otherwise from TR.
Step 4 — Preview + Color
The blue Preview badge at the top of the modal shows the TR name you entered live. If there is a color picker in the modal, you set the background color you want (or the default remains).
Step 5 — Save
Click the "Save" button at the bottom of the modal. The category is added to the group's list.
3. Editing an existing category
On the right side of each category row in the list are small icons:
- Edit (pencil icon) — Opens the same 7-language modal; you update the necessary languages, save.
- Delete (trash icon) — Deletes the category. In categories with movement records, the system gives a warning before deletion.
4. Seeing category usage + bulk change
How many records a category is used in is shown as a small number badge on the category row. If you click the badge, you go to the Category Usage Detail page.
Category Usage Detail page
On this page:
- All movements (income/expenses) assigned to that category or blogs/galleries are listed.
- At the top is the filter bar: Search Description, in financial categories Date Start / End.
- At the beginning of each row is a checkbox, at the top is the "Select All" checkbox.
Bulk category change
- Select one or more records from the list (checkboxes).
- A blue bar opens informing "X records selected".
- Select the new category from the "Select target category..." dropdown on the bar. Categories within the same group are listed. Additionally, there is the "Uncategorized (empty)" option — completely removes the category from the records.
- Click the "Move Selected" button.
After confirmation, the system changes the category of the selected records at once. The old category remains linked with fewer records; you can delete it if it is completely empty.
5. Uncategorized movements
You may not select a category when entering dues or expenses; these appear as "uncategorized." You can later assign a category with the bulk category change (using the steps above).
