Add, Edit, Delete a Debt in Account Detail and Collect on a Single Debt
Adding a debt manually to a single resident, editing or deleting an existing debt, and taking a collection specific to that single debt.
Unlike bulk dues accrual, you can manually add a debt to a single resident, change the amount/due date of an existing debt, delete an incorrectly created debt, or take a collection specific to a single debt (outside of FIFO). This guide covers these four operations separately.
1. Add Debt in Account Detail
From the left menu, click Accounts > the relevant resident. On the account detail page's right panel, if the resident type is Owner/Tenant, at the top the Add Debt and Collect Payment buttons appear side by side.
Press the yellow Add Debt button. On the Add Dues page that opens:
- Description — e.g., "Late water bill difference"
- Amount — Debt amount
- Date — Date the debt is issued (default: today)
- Due Date — Payment deadline (default: end of month)
- Category — Dues / fuel / etc.
Create the debt with the Save button at the top right. It appears as a new row in the account detail.
2. Edit the debt
In the account detail list, click the debt row you want to change; the Dues Detail page opens. Press the pencil (edit) icon at the top right (tooltip: "Edit amount / date / category / description on a single page").
In the form that opens, update fields such as amount, due date, category, description, then press Save. If partial/full collection has already been taken on the debt, the "Paid" status is automatically recalculated after the amount change.
3. Delete the debt
On the right panel of the Dues Detail page, at the very bottom is the Delete button (red, trash icon). Important rule:
- If no collection has been taken on the debt → the button is active; clicking it lets you delete via the confirmation window.
- If collection has been taken on the debt → the button is locked (tooltip shows the reason). You must first delete those collections (see Deleting a Collection article).
4. Collection on a single debt (not FIFO)
FIFO collection distributes the amount starting from the oldest due date. If a resident is paying a specific debt (e.g., only the water bill), you want to take a debt-targeted collection.
In the account detail movements list, next to the open (unpaid) debt row, a small green Collect button appears on the right. Press this button. In the Collect on Debt modal that opens:
- Payment Method — Cash / Wire-EFT / Credit Card
- Cash / Bank
- Amount — Up to the remaining balance of that debt (the modal automatically checks the max)
- Date
- Description
Press Save. Only that debt is updated; other open debts are not touched.
