Why Should Collections Be Documented?
Collection is the most sensitive transaction of management. The only solution to disputes between "I paid" and "they did not pay" is documentation. Recording each collection with a receipt protects both the owner and the manager. Undocumented collection is the biggest source of problems later at the accountability stage.
Payment Methods
Residents generally pay dues by bank transfer or EFT. The management notifies residents of the bank account information; the resident makes the payment from their own bank. Writing the unit number and period in the description field ensures the payment is matched correctly. For cash collection, a receipt must always be issued.
Receipt Discipline
Each collection receipt must show which period's debt it corresponds to. The receipt must contain the unit, the owner/tenant name, the amount, the date, and the debt to which it is credited. Matching the Collection to the Debt
If an owner has multiple period debts, it must be clarified which debt the incoming payment will be credited to. The common and fair method is to start with the oldest debt. This ensures that late-payment interest is calculated correctly and the debt is properly closed. In a digital system, this matching is done automatically, and the receipt and ledger are updated instantly.
Is There Online Payment?
Not every management system offers online payment. In Apt Yönet, payments are made by bank transfer/EFT; the resident sees the bank information on the panel, pays from their own bank, and the manager records the collection. This method is both transparent and does not bring an additional commission burden.
Common Mistakes
- Collection without receipt: Undocumented payment leads to proof problems later.
- Transfer without description: Payments without the unit/period may be incorrectly matched.
- Inconsistency with the ledger: If the receipt and ledger do not match, the accounts become confused.
